Mixed Fleet Analysis

Many operators still run both analogue and digital vehicles and for some this can cause issues when merging the reports.

Not for our clients our systems allow full integration of reports and the reports are in the same format so there is no confusion.

So what is really involved in analysing tachograph data and producing a report for a mixed fleet

We start with the analogue records

  • Charts are received and sorted into driver and date order.
  • The analyst will then access our program and build a schedule for the period required.
  • The centre field data is then entered into the system by the analyst and the chart is then scanned using a high density infrared scanner.
  • The start and finish time are cross referenced by the analyst to ensure the chart has been read accurately.
  • The modes are then scrutinised and cross referenced by the analyst to ensure the chart has been read accurately.
  • The analyst will then check beyond the mode trace and count the distance trace and check the speed trace to detect any tamperings and interference.
  • The next stage is to run through the data and issue the infringements always cross referencing the data on the screen with the physical chart to ensure accuracy.
  • This is then saved and the whole process is repeated until all the charts are completed.
  • Once all the charts are scanned and checked the schedule is then complied.

Next the digital data is entered

  • The digital data is received and sorted into driver order.
  • The analyst then checks the previous records on our server and the last date and time is noted for each driver.
  • This is then used as a cut off point for the new data to be processed for each driver.
  • The analyst then builds a schedule from the cut off date to the most recent record in the data received.
  • Each file is then loaded individually into our program in date order.
  • Once all the records have been uploaded the schedule is then compiled.

  • The next stage is to build a vehicle reference report to check on large amounts of missing miles and possible overlaps or human errors such as a driver entering the wrong registration on an analogue chart, corrupt data on a digital record or other errors such as the driver leaving his card in a digital vehicle whilst driving an analogue thus appearing to be in two places at once.
  • Any errors will then be identified and corrected.
  • The analyst will then build an analysis report and check week by week for each driver and any infringements or inconsistencies are investigated individually and required action is taken.
  • The analyst will then build the working time directive reports required to cover the span of that schedule
  • The reports are then compiled and converted to enable printing or emailing to the client
  • The charts are then returned for filing and the digital records and analysis reports are then archived on our secure servers
